Overview of interfaces

Excel import and export

Microsoft Excel is deeply integrated into work4all. You can export data to Excel from almost all screens.

In addition, custom database queries of work4all data can be loaded directly into Excel via an ODBC connection, allowing Excel to serve as a controlling tool based on work4all data.

Besides exporting, Excel can also be used to import customers, suppliers, contacts, items, line items such as those from CAD, project times, financial accounting accounts, and much more.

Outlook email and calendar integration

Emails can be received in work4all either through a direct connection to Microsoft Exchange or via SMTP/IMAP.With the work4all Exchange Connector, appointments from Microsoft Exchange can also be synchronized in both directions.

Microsoft SharePoint

With work4all, you do not end up with yet another separate data silo. work4all can be connected to SharePoint as a file source. This means all files are stored in project folders, and you can access them as usual via SharePoint, OneDrive, work4all, or any other software.

Connect work4all to your accounting software

In work4all, you can conveniently capture receipts and documents via drag and drop or scan, making them available to all colleagues with the appropriate permissions. Incoming invoices can be approved, credit card receipts can be collected, and more. All documents can be exported to DATEV or another accounting program — even with posting suggestions that are generated automatically from the stored financial accounting accounts in the item master.

Telephone systems

You can call contacts at customers, suppliers, or business partners directly from work4all. And of course, this works not only at your desk, but also while on the go.

Automatically create shipping labels from delivery notes

Shipping labels are created in work4all based on delivery notes. The data is transferred to DHL, UPS, or DPD, and the shipping labels can be printed immediately.

Supplier webshops via OCI

OCI and IDS are two standardized interface formats that allow you to connect work4all to virtually any of your suppliers’ webshops. The advantage? You can access your suppliers’ items directly from within work4all. And your webshops are likely already familiar with these interface formats, since OCI and IDS are standardized formats used by many ERP vendors and webshop operators.

Appointment booking tools

These tools make scheduling appointments easy through booking links. Appointments booked there can be automatically synchronized to work4all using our Exchange Connector and, based on the email address, assigned to the customer record.

CRM systems and newsletter software for marketing activities

Connecting a CRM system to work4all, even though work4all itself already includes a CRM system? That can absolutely make sense. The term CRM system covers both sales-oriented CRM systems (such as the one in work4all) and marketing-oriented CRM systems.

DocuWare (DMS-System)

In principle, documents can be stored in work4all within its own directories. If you prefer file storage in a “true” DMS, work4all can be connected to DocuWare.

Scheduling and documentation of service assignments

ADASMA maintenance software is designed for SMEs and large companies that carry out maintenance and service work on their customers’ equipment and facilities. ADASMA brings together all completed activities and information in a complete equipment history and supports your dispatchers in coordinating and scheduling service technicians. With the ADASMA mobile app, your technicians can create paperless service reports and handle the entire equipment documentation directly on site in the service technician app — even without an internet connection.

Zapier, n8n & similar tools

Zapier, n8n, and similar tools enable customized process automation. With relatively little effort, AI agents can also be integrated for automation, and connections to other software solutions can be implemented using these tools via low-code / no-code — without external help.

Examples:
• When a quotation becomes an order, set the project status to “In Progress”
• If significantly fewer project hours than working hours were recorded yesterday, remind the person via a Teams message
• Take all PDF orders from the mailbox Bestellung@xy.de, use AI to read the PDF, and create an order in work4all

GaebStudio

GAEB files help with data exchange in AVA processes (tendering workflows, often in the construction industry). While work4all can import GAEB files, when it comes to creating them, Mohr-IT has developed a powerful tool called GaebStudio to convert a wide range of file formats. You export the data from work4all, import it into GaebStudio, and can then carry out all required conversions.

BeneticsAI (AI-powered voice assistant for trade businesses)

Benetics AI is an AI-powered voice assistant for trade businesses that simplifies documentation and communication on construction sites. Using natural voice input — even in foreign languages — tasks, defects, and site reports, including photos, can be recorded more easily and quickly than ever before. The data is automatically structured and transferred to work4all via the interface.

AtroPIM (PIM software)

With AtroCore (Master Data Management) and/or AtroPIM (Product Information Management), you can manage master data and product data centrally and efficiently. The integration with work4all can be configured flexibly, enables fully automated data exchange, ensures consistent information across all systems, and reduces maintenance effort. This connection is especially useful for linking webshops to work4all.

BI software for customized analyses

work4all can be used by any BI software of your choice via a database connection or REST API to analyze data individually. Here, you define the limits of what is possible.
